Position Description

The Benevolent and Protective Order of Elks of the USA (BPO Elks) has an opening for a Help Desk Specialist in our Accounting Department at our national headquarters, in the heart of Chicago’s Lincoln Park neighborhood.

As a Help Desk Specialist, you will be the primary contact for users requiring assistance with the Financial Reporting System (FRS) software and its related functions. This is an excellent opportunity to be part of an organization dedicated to charity and patriotism since 1868.

Primary Responsibilities

  • Answer help desk phone calls and emails; provide remote technical support to users nationwide.

  • Create and manage user identities, access privileges, and password resets.

  • Troubleshoot system errors or technical issues and report findings to the Controller.

  • Log and track help desk inquiries using a call ticket management system.

  • Provide regular status updates on open issues and escalate unresolved issues to the FRS software vendor.

  • Enforce company and department security policies.

  • Develop and document troubleshooting techniques and share knowledge with users.

  • Assist users remotely with FRS, ISP issues, printing problems, and internet use.

  • Support management with analysis and consolidation reporting.

  • Recommend and oversee software changes; conduct beta testing of system updates.

  • Develop training materials, including instructional videos, for remote users.

  • Conduct biweekly video webinars for users on Wednesdays and Saturdays, as needed.

  • Document the application for user reference and develop web-based multimedia training aids.

  • Work a flexible schedule, including occasional overtime and weekends.

  • Travel to the annual convention for up to a week to train Elks members on the FRS system.

Qualifications & Requirements

  • Associate’s degree (minimum 2 years) in Computer Science or related field plus 3 years of relevant experience.

  • Strong business communication skills (verbal and written) and customer service skills.

  • Ability to handle sensitive information with poise, tact, and diplomacy.

  • Accounting experience and skills required.

  • Proficiency with standard office equipment and software applications (word processing, spreadsheets, databases).

  • Experience with remote control/support software (e.g., GoToMeeting, Webinar, TeamViewer).

  • Ability to troubleshoot HP workstations (programming background beneficial but not required).

  • Understanding of network topologies and their impact on system operations.

  • Strong organizational skills, multi-tasking ability, and attention to detail.

  • Ability to work both independently and collaboratively.

  • Initiative to make decisions without direct supervision and ability to learn quickly.

  • Ideal candidate will be customer service-focused, patient, and responsive to volunteers.

  • Self-starter who can work independently.

Preferred (Training Available)

  • Experience with FRS software

  • Experience with Workday (formerly Adaptive Insights)

  • Knowledge of BPOE Lodge Secretary duties

  • Background in membership organizations (dues collection experience preferred)

  • Familiarity with postal regulations and mailing operations

Work Environment & Benefits

We offer flexible work arrangements, including remote and hybrid options and a competitive salary commensurate with experience and qualifications. (Salary Range: $55K-$65K).
