Position: Application Support Specialist - Financial Reporting System

Position Description

The Benevolent and Protective Order of Elks of the USA and has an opening for an Application Support Specialist in our Accounting Department at the BPO Elks’ national headquarters in the heart of Chicago’s Lincoln Park neighborhood.

The Application Support Specialist will serve as the main contact for users seeking assistance with the Financial Reporting System (FRS) software and its ancillary functions.

Primary responsibilities include answering the help desk telephone calls and e-mails and providing remote technical support as needed to users around the country. Additional responsibilities include:

  • Create and maintain user identities and access privileges; reset passwords.

  • Initiate trouble shooting process to correct errors or equipment problems; report findings to the Controller detailing the problem and solution.

  • Log all helpdesk e-mails and telephone calls into a helpdesk call ticket management system.

  • Periodically report status of problems to department contact; provide a status of open issues.

  • Escalate unresolved issues to FRS software vendor.

  • Enforce Company and Department security policies.

  • Develop and document new troubleshooting techniques for future reference.

  • Write/edit/maintain technical and user documentation; share with Users.

  • Assist remote users via telephone and PC sharing software on issues regarding FRS, ISP problems, printing problems and, internet use.

  • Assist management with analysis and consolidation reporting.

  • Recommend and oversee software changes; Beta test changes made by developers.

  • Develop training materials/Video’s for use remotely by users.

  • Perform video Webinars every other Wednesday and Saturday users.

  • Document the application for the users and develop web-based multimedia training aides.

  • Must be able to work a flexible schedule including overtime as needed and weekends on occasion.

  • Must be able to travel to the annual convention and present to and train Elks members on the FRS system.

Requirements and qualifications:

  • Minimum of a 2-year technical degree in Computer Science or related field plus 3 years of related experience

  • Excellent business communication skills, both verbal and written
  • Excellent customer service skills
  • Must have a positive perspective and patience; Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.

  • Excellent project management skills
  • Must have Accounting skills and experience
  • Must have knowledge of use and operation of standard office equipment.

  • Must have experience working with remote control/support software like GoToMeeting-Webinar/TeamViewer for troubleshooting and training.
  • HP workstation maintenance & troubleshooting; Programming background would be beneficial, but not mandatory
  • Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database, etc.

  • Experience with a variety of client security software helpful.
  • Understand topologies and how projects activities could impact other systems in the environment.
  • Must have the ability to learn new troubleshooting techniques.

  • Good phone skills; organized; sets priorities; meets deadlines; able to multi-task; carefully proofs own work.
  • Some analytical ability is required in order to gather and summarize data for reports, find solutions to various problems, and prioritize work.

  • Work requires attention to detail, establishing priorities and meeting deadlines.

  • Must be able to work individually as well as participate on teams.

  • Consistently demonstrate ability to take the initiative to make decisions/choices without direct supervision; must be a faster learner.

  • Preferred (will train):
    • Working knowledge of FRS software
    • Knowledge of BPOE Lodge Secretary duties
    • Experience with dues collecting membership organizations
    • Experience with Postal regulations and mailing operations
